Digitizing Paddy Procurement & Traceability from Farm to Mill
An agri-business enterprise operates multiple procurement sites where paddy is sourced from farmers. Manual processes have led to inconsistencies in procurement records, lack of inventory visibility, and challenges in backward traceability during transport to mills.
A major agribusiness exporter spearheaded the digitization of its Sustainable Rice Project, with a focus on Basmati paddy cultivation across regions in Haryana. Collaborating with 32 farmer groups, comprising around 200 farmers, the project aimed to track 3000MT of Basmati paddy adhering to the standards laid down by the Sustainable Rice Platform. The primary goal was to streamline the entire supply chain, leveraging the TraceX solutions, by digitizing cultivation practices, implementing sustainable practices, and optimizing resource utilization

Challenges
Manual procurement and rate entry led to record errors.
Lack of visibility on which farmer or mandi the grain originated from.
No digital trace once bags were filled and transported.
Inefficient inventory management at warehouses.
Solutions
Using a digital traceability platform, the company digitized the entire procurement-to-mill process:
Farmer-Level Procurement Digitization
Mandi managers accept farmer procurement lists digitally and input rate/quantity at source via mobile app.
QR Code Tagging at Grain Filling
Each paddy bag is tagged with a digitally generated QR code containing procurement metadata (farmer ID, location, rate, weight).
Inventory Management at Warehouse
QR-tagged bags are logged into the system upon arrival and auto-updated in inventory.
Tracking of warehouse stock and FIFO for dispatch.
Logistics & Transport Integration
Tagged bags are scanned during truck loading.
Transport records are linked to bag data and shared with the mill site team in real-time.
The Results
100% traceability of each paddy bag from farmer to mill.
85% reduction in manual errors and paper-based processes.
Real-time inventory visibility across all procurement sites.
Improved compliance readiness and sourcing transparency.
